Running a showhouse

From the diary entry to Monday's follow-ups.

A great showhouse converts walk-ins into mandates. Here is the RealtyPA workflow that gets the most out of every Saturday afternoon, from setting the viewing times to Monday morning follow-ups.

    Add the show day to the listing

    Open the listing, go to the Details tab and find "Viewing details". Add a show day with a date, a start time and an end time, plus any "Show Day Comments/Instructions".

    Let the portals carry it

    A published show day goes out to Property24 and Private Property with the listing. Both portal builders resolve the wall-clock time against the show date, so a 10:00 show publishes as 10:00 no matter what timezone the server runs in.

    Capture walk-ins as leads

    On the day, tap Add and choose Lead. Enter the name and the message on the "Add lead" screen, then set the source. The options are General, List your Property, Rent your Property, Valuation, Website, Property24 and Private Property, so a walk-in goes in as General.

    Log what each visitor said

    Add show day feedback against the listing: the contact, a Message, a Concern, an Interest level and which Show day it belongs to. That is the record you take back to the seller.

    Work the follow-ups on Monday

    Open Leads, from the sidebar on a computer or the bottom bar on a phone. Source is a searchable column on the list on a computer; a phone shows the same leads as cards instead of a column table. Either way Source comes out in "Export to spreadsheet" in the filter sheet, so you can pull the weekend's leads in one go. Book viewings from the Calendar, where every appointment carries Reschedule, Send reminder and Cancel quick actions.

Pro tips

From agents who've done it.

Use "Show Day Comments/Instructions" on the listing for everything that is not a time: which gate, where to park, whether the dog is friendly. It sits directly under the show day on the Details tab, so whoever runs the day reads it in the same place they read the times.

Reminders are not manual. Set the reminder field on the task or appointment and the reminder job fires it, running every minute on South African time. Appointments also have a "Send reminder" quick action.
