FICA a client in 5 minutes

Collect the documents on one link. The sign-off stays yours.

4 min read

FICA used to mean a flurry of WhatsApp messages, email attachments, and a folder full of expired proofs. RealtyPA sends your client one WhatsApp link. They verify their number with a one time code and upload straight onto their contact record.

  1. 1

    Open the contact in RealtyPA

On a computer, open Contacts in the sidebar, search for the client and open their record. Contacts is the one main item the phone layout leaves out: it is not in the bottom bar and it is not in the More sheet, so on a phone you open the client from a lead instead, under "Related to". They need a phone number saved, because that is where the FICA link goes.

  2. 2

    Open the FICA tab

The contact drawer has seven tabs: Overview, Leads, Matches, POPIA, FICA, Details and Activity. Open FICA and tap "Request FICA documents" under "Request from contact".

  3. 3

    RealtyPA sends the WhatsApp

The API mints a signed link and WhatsApps it to the contact. The link is served from your own agency website when your workspace has one, so your client sees your branding. The link itself always appears under the button with a copy icon, and if the WhatsApp does not go through RealtyPA tells you to copy it and send it yourself.

  4. 4

    Your client verifies and uploads

They tap "Send me a code on WhatsApp", enter the 6 digit code, then upload their ID or passport, proof of address and bank confirmation letter. PDF or photo, up to 15MB per file.

  5. 5

    You review and mark compliant

Once every required document is in, the contact flips to "Submitted" on its own. A person still has to read the documents and set the FICA status to "Compliant" in the FICA tab.

Pro tips

From agents who've done it.

The link is good for 30 days and each client session lasts an hour. Ask again later and RealtyPA reuses the same open FICA request rather than opening a second one, so there is one place to check and one place to revoke.

Uploads go through the API, not from the browser straight to storage, so a client on the link never holds a token that can write across your workspace files. PDF, JPG, PNG, HEIC and WebP only.

Every proof lands under "Documents" in the same FICA tab on the contact, and each file is stored with the FICA document type it was uploaded against. An inspection request means opening one contact record, not hunting through email.
