Mailbox connection lives on the Emails view, where an integration badge reads Connect email... The badge lists Gmail, Outlook and IMAP, and each opens its connection drawer on the right. Outlook is listed but not connectable, so pick Gmail or IMAP.
Gmail is either covered by your agency's domain-wide authorisation or signed into with Google on your own mailbox. Anything else opens the Email Connection drawer, which takes your address, your mailbox password and, under Advanced, the IMAP host.
Background syncs run every ten minutes and touch each mailbox at most once every fifteen, pulling up to fifty new Gmail messages a pass.

Gmail connects two ways. Your Google Workspace admin authorises RealtyPA once for the whole domain and every agent is covered without signing in, or an agent signs in with Google on their own mailbox. Anything else connects over IMAP, including Titan, cPanel and Afrihost mailboxes, with the password checked against the mail server and stored encrypted.

Replies go out through your own mailbox. RealtyPA sends through Gmail by default, and through IMAP send when you have connected an IMAP mailbox and your account has no Gmail send path.

Gmail and IMAP. Gmail is either authorised once across your Google Workspace domain or signed into per agent, and any other mailbox connects over IMAP using your address, password and IMAP host. Outlook is not usable today, whatever the interface implies: Settings lists it with a Coming soon pill, but the Emails badge still offers it as a live option, and picking it starts an OAuth flow the production API answers with Outlook Email OAuth is not configured. Even a connected Outlook mailbox would sit idle, because nothing in the shipped build ever calls the Outlook inbox sync.
It syncs your inbox and your sent mail, so the mailbox is pulled in full. What it does not do is share it. The sync writes a per-user access relation only, so nobody else in your workspace can reach your mail through search.
Yes. Connected mailboxes send through your own address, so recipients see your normal email and replies thread correctly.
